Tell participants you’re transcribing

Always tell everyone in the meeting that you’re transcribing it, and make sure they agree before you start. When transcription starts, Meetings reminds you with Transcription started. and asks you to make sure everyone knows and agrees to being transcribed. If your workspace hides transcripts, the reminder says Recording started. instead. Depending on your workspace settings, Langdock can also make the transcription visible to other participants:
  • Watermark camera: Your video shows a Langdock badge, so others can see the meeting is being transcribed. See Set up the watermark camera.
  • Teams chat notice: When you transcribe a meeting in the Microsoft Teams desktop app, Langdock posts a transcription notice in the meeting chat. See Teams chat notice.
Your workspace admin turns these on in Transparency.

Set up the watermark camera

The watermark camera is available in the desktop app on macOS 14 or later and on Windows 11.
If your workspace requires the watermark, Meetings shows a banner: “Required by your workspace. Langdock only transcribes while the camera ending in “Langdock Watermark” is selected in your meeting.” Select Set up now to open the Langdock Watermark dialog.
1

Install the camera extension

Under Install camera extension, select Add extension. On macOS, turn the extension on in System Settings when asked. On Windows, choose Yes when Windows asks for admin permission.
2

Allow camera access

Under Allow camera access, select Enable camera, then select Continue.
3

Try it in a meeting app

Select Open a test meeting. Langdock opens an empty meeting and a small guide shows which camera to pick.
4

Select the watermark camera

In the meeting’s camera menu, select the camera ending in Langdock Watermark. When you see Watermark set up, you’re done.
Keep this camera selected in all your meetings. Your own video may look mirrored, so the badge can appear flipped to you. Others see it correctly.
  • If the camera is missing from the list, quit the meeting app or browser completely and open it again.
  • The watermark camera only works while the Langdock desktop app is running. Turn on launch at login to keep it available.
  • To check the camera later, use Test watermark camera in Personal settings.
On Windows, installing the watermark camera needs admin rights. If your company manages your computer and you can’t approve the prompt, ask your IT team. A later camera update may ask for admin permission again.

If you switch away from the watermark camera

If your workspace requires the watermark and you switch to another camera or turn your camera off during a call, Meetings warns you with Langdock will stop transcribing and a countdown, for example Stopping in 60s. Select the watermark camera in your meeting to keep transcribing. If the countdown ends, transcription stops. Select the watermark camera, then resume transcription. In-person transcriptions, with no meeting app running, aren’t affected.

Teams chat notice

When your workspace has the Teams chat notice turned on and you transcribe a meeting in the Microsoft Teams desktop app, Langdock posts a transcription notice in the meeting chat. If it can’t post the notice, Meetings shows Tell participants you’re recording, so you can let everyone know yourself. For the notice to work:
  • Use the new Microsoft Teams desktop app on macOS or Windows. Classic Teams and Teams in a browser aren’t supported.
  • Keep the meeting chat open in the call window.
  • Don’t leave unsent text in the chat box.
  • On macOS, allow Accessibility access for Langdock.
